Administration Assistant/Officer

A position has become available for an Administration Assistant at the Leeds Campus for an enthusiastic and motivated individual. The postholder will be able to complete all administrative duties relating to the education sector, work closely with the program coordinator, area manager of Further Education to help develop, and deliver student statistics, including student attendance, in accordance with the College’s strategies, policies, procedures.

Location: Swathmore Education Centre, 2-7 Woodhouse Square, LS3 1AD

Contract: Full time 40 hours a week, permanent, Monday to Friday 9-5

The Administration Assistant will complete all administrative duties, relating to students, overseen by the Assistant Principal and Academic team. You will be expected to collaborate and interact with Programme coordinators, Module Leaders and the wider academic team to provide an efficient and responsive service to academic registry. Excellent liaison and organisational skills are a priority in order to assist with processes across professional services to provide a seamless service delivery. You will be expected to act fairly, with integrity, respect and purpose.

Key Responsibilities:

  • First contact for students, staff and visitors with queries.
  • Ensure all queries are appropriately referred and dealt with.
  • Issuing student letters: council tax letters etc.
  • Ability to work in a team for registry and admissions related tasks.
  • Work closely with the Admissions Officer to ensure all students with support needs are identified and appropriately referred.
  • Liaise with the registrar to ensure all admitted students have been registered with the appropriate awarding organisation.
  • Work in consultation with the Academic team to prepare class timetables.
  • Work with the academic manager to prepare class lists/registers.
  • Preparing statistics and handling data, such as attendance figures
  • Liaising with potential students, other institutions, government departments, and external organisations
  • Timetabling and planning events
  • Administering and coordinating student recruitment, examinations, and assessment activities.
