WHAT WE DO 

The Directorate of Estates and Capital Projects comprises Health, Safety and Environment team, the Campus Facilities team, Property and Maintenance team and Capital Projects team.

 

Between them they service the estate across the whole of the Luminate Group; As well as undergoing a significant restructure to enable future growth and address much needed change, the directorate is embarking in a growth programme to create a number of new campuses over the next five years which will address a significant growth in student numbers.

 

WHAT YOU WILL DO

Provide comprehensive administrative support to the Estates & Campus Facilities management function.

Provide a first point of contact and deal with routine enquiries from a variety of sources including internal customers, contractors, consultants and suppliers.

Administer the Estates help desk including providing standard system reports as required, keeping the system up to date as additional information is provided by Campus Services and Estates staff.

Develop and maintain the department filing and document storage and retrieval system including handling confidential documents.

Carry out routine office tasks such as word-processing, filing, photocopying, diary management, handling post, providing occasional hospitality for meetings etc.

Prepare reports and spreadsheets under the guidance of the Estates Coordinator 7.

Arrange and service meetings including providing agendas and note/ minute taking.

Maintain stock for department including ordering of general stationery stock and pre-printed documents.

Raise requisitions, administer invoices, and raise re-charges as directed by the Estates Coordinator

Liaise with customers, suppliers, contractors, consultants and other parties as necessary and as directed in relation to the delivery of estates and facilities services.

Assist the Estates Coordinator with the verification of parking permit applications, contacting users where data is missing or needs appropriate evidencing.

 

YOUR PROFILE 

 

Essential: Literacy and Numeracy at minimum Level 2 Good knowledge of Microsoft Office and / or Google Applications Experience of administrative / clerical work Desirable: Experience of working in a similar environment and in a similar role Experience of servicing meetings, including agenda compilation and minute taking.

In addition, you must be a proactive independent worker able to solve problems using your own initiative, working within agreed parameters and meeting deadlines.

Good communication skills (including an excellent telephone manner) and ability to work as part of a team also essential.
