At Nottingham Trent International College, we’re looking to appoint a Senior College Services Administrator -Welfare, to be part of a strong team supporting the delivery and development of the College’s administrative activities and first line advisory services to students studying at the College. This opportunity is likely to appeal to individuals who enjoy working with international students, are customer orientated, have strong organisational skills and thrive on working in a busy team oriented environment. It will suit an individual with experience of supporting students or young adults in an education setting. 

The Senior College Services Administrator – Welfare will provide support to the College Services Leadership team, with a particular focus on the delivery of welfare/student support provision. You will work closely with a range of stakeholders both nationally and internationally, including current students, parents, overseas offices and agents, external service providers and colleagues both with KIC nationally and the College.

As Senior College Services Administrator reports to the Manager of College Service and is part of the wider College Services team.

The role

The Senior College Services Administrator – Welfare will provide support to the College Services Leadership team, with a particular focus on the delivery of welfare/student support provision. The post holder will work closely with a range of stakeholders both nationally and internationally, including current students, parents, overseas offices and agents, external service providers and colleagues both with KIC nationally and the College.

Main responsibilities and functions

The main responsibilities of the Senior College Services Administrator role include:

  • Assisting with all administrative tasks and responsibilities of the College Services Team, including day to day customer enquiries on reception desk.
  • Maintaining the College electronic student record management system.
  • Processing of confidential information.
  • Taking minutes for various meetings such as assessment boards, academic misconduct panels or exceptional extenuating circumstances boards.
  • Administrating and processing of student and staff feedback questionnaires.
  • Supporting attendance monitoring and administration of teaching covers.
  • Assisting with the development of the College social programme.
  • Any other duties as required from time to time by the Manager of College Services, Academic Director, Head of College Services or College Director.

With a particular focus on:

  • Supporting the College Services Leadership team with operational responsibilities and ensuring effective and efficient delivery of all student support services;
  • Supporting Under 18 students and students with disabilities, ensuring that safeguarding and health & safety requirements are met;
  • Supporting all college safeguarding activities including the promotion of Prevent duties within the college community;
  • Providing advice, guidance and support to students with welfare/pastoral issues;
  • Keeping the College Services Leadership team informed through regular updates and discussion on key functions of the Service and bring areas of concern to attention in a timely manner;
  • Implementing and coordinating the development of all activities related to welfare support including the college Students of Concern panel, ensuring staff and students are aware of welfare resources available for use by students;
  • Processing and accurately recording confidential information relating to the student support activities. Specific responsibility for quality assurance and integrity of data used on College systems. Running internal audits in relation to area of responsibility and reporting to the College Services Leadership team on key findings and suggestions for improvement;
  • Identifying and addressing welfare issues that impact upon students’ attendance;
  • Producing reports to support activities carried out by the Team to ensure good communication within the College, with our London Head Office and with Nottingham Trent University.

Candidate profile

  • An undergraduate degree or equivalent, or substantial professional experience in the field of student support.
  • Proven record of experience in supporting students with a learning difference, vulnerable adults and/or international students
  • Good knowledge and understanding of the safeguarding regulations with regards to Under 18’s processes and procedures
  • Awareness of the Prevent agenda and its impact on education providers
  • Strong interest in working with students and in particular international students
  • Basic understanding of budgeting and budget management to support small scale projects
  • Excellent interpersonal, written and verbal communication skills, including a pleasant and professional personal and telephone manner
  • An ability to prioritise effectively, be flexible and self-manage under pressure whilst maintaining standards in a busy customer service environment
  • Strong administrative IT skills (student management systems, Word, Excel, PowerPoint, e-mail, etc)
  • Experience of working with large databases and strong record keeping skills
  • A willingness to work flexibly (i.e. some evenings and/or weekends) and to tight deadlines when necessary
  • Experience of working across, up and down an organisation as well as with external partners and both national and international stakeholders
