An opportunity has arisen to come and work as PA to the Executive on a fixed term basis covering maternity leave working 16 hours across 4 days.
Key Responsibility:
To maximise the productive working time of the members of the Executive, enabling them to add value to the business.
Principle duties:
- To manage and maintain named Executive members diaries, actively managing their time and programme of work, ensuring that most effective and necessary use is made of their time and thus their productivity.
- To anticipate requirements, planning ahead to ensure that information is available and meetings and work time is planned in, to meet required deadlines.
- To identify potential issues in advance and to put forward ideas for solutions.
- To deal with correspondence, prepare initial draft responses and refer onto others where appropriate.
- To appropriately gate keep, minimising unnecessary interruptions.
- To prepare first draft reports, gathering information from multiple sources and questioning as appropriate.
- To proactively prepare agendas, collate and distribute papers, take notes for meetings as required.
- To maintain an action list for the Executive member, and proactively gather information and relentlessly progress chase to ensure all actions are completed timely.
- To proactively collate and prepare the papers for all meetings ensuring optimal information is available in a timely fashion.
- To maintain up to date records of all meetings attended by the member of Executive.
- To undertake research and prepare briefings on individuals, organisations, sectors as required and to pro-actively undertake research in order to identify useful intelligence in key business sectors.
- To demonstrate competence and keep pace with advances in Information Technology and its applications in a business support environment, ensuring all IT equipment is fully charged and available as necessary.
- To maintain effective and logical electronic and manual filing systems for all aspects of work.
- To prepare clear and detailed travel itineraries, making all necessary travel and accommodation bookings.
- To arrange and closely manage the logistics of any external meetings or meetings with externals held at B&FC, meeting and greeting visitors.
- To prepare accurate Executive travel and expense claims and credit card returns in line with deadlines.
- To protect the reputation of B&FC and its Executive team by delivering exemplary customer service to all customers internal and external.
- To ensure absolute confidentiality at all times.
- To deputise for the EA to the Principal and Chief Executive as and when appropriate.
- To undertake specific duties which contribute to the efficient running of the Executive Support Team as directed by the EA to the Principal and Chief Executive.
