Apprenticeship level: Intermediate

Apprenticeship duration: 12 months

Possible start date: 8th April 2019

Working week: Between 8:00am – 5:00pm as agreed with the employer. Days TBC.

Total hours per week: 37.00

To support Business and Administrative support to the Academy, whilst being based on the schools busy reception area. The ideal applicant will be able to accurately record telephone messages and relay them to the necessary people, including diverting calls as appropriate.

Responsibilities:

  • To provide administration and support to the Head of School, Admin team, Receptionist and any members of SLT
  • Greeting all Parents, Visitors, Staff and external agencies in a professional manner
  • Assembly and maintenance of learning space/corridor displays
  • Making telephone calls, taking accurate messages and relaying them to the relevant people. Sending correspondence by letter and email
  • Maintaining records, processing data, preparing summaries of data
  • Taking minutes of meetings
  • Work as part of a team to undertake reception duties
  • Filing
  • Cataloguing and issuing equipment and materials
  • Carrying out stock checks
  • Ordering new books/equipment/consumables
  • Photocopying/reprographics
  • SIMS input
  • Supporting the Heads PA with upcoming events and projects
  • Attending full staff and department meetings as required and supporting departmental events
  • Researching, preparing and downloading on-line resources
  • Administering school visits/journeys including word processing of letters, collection of money, checking documentation
  • Maintaining, organising and producing resources
  • Cover Duties, for example other admin roles, reception, etc.
  • Assisting with Academy wide administrative needs
  • To be an effective team member with a flexible approach and a willingness to co-operate with other members of staff
  • To give high priority to the standard of presentation of all written communications, booklets and information sheets
  • Administrative duties associated with attendance, e.g. phone calls, emails, data entry, absence slips
  • Other duties as may be appropriate to achieve the objectives of the Academy

Travel between sites to be mutually agreed, for reasons such as training etc. However the role will mainly be based at the one location.
