Job Description
Responsible for managing cost-effective and efficient invigilation and assessment processes for PG and UG programmes, bridging programme, pre-masters, professional awarding bodies and ensuring compliance with assessment policies.
Specific responsibilities:
1. Compliance with assessment policies
Knowledge of (a) course, modules, structure, delivery and assessments (b) awarding body academic policies and procedures, academic regulations and protocols (c) examination rules, regulations and procedures.
Maintain confidentiality of assessments and results.
2. Examination Timetable and invigilation
Create and manage the planning of examinations timetables and invigilation rota for: Years 1 & 2 undergraduate programmes, bridging programmes, pre-masters and professional awarding bodies; to ensure proper scheduling of resources to meet examination requirements with a contingency plan to cover emergencies.
3. Assessment Registration
Create assessment entry forms, manage assessment registration and check outstanding assessment fees for each registered student. Send assessment acknowledgement letters to registered students with timetable and examination regulations.
4. Coursework preparation, submission and marking
Format and photocopy coursework, send a copy to be uploaded onto the web-portal. Manage coursework submission and arrange first marking and sample for double marking and external moderation according to deadlines. Manage secure receipt and despatch of coursework for marking.
5. Examination Preparation and Marking
Format, photocopy examination papers and kept in secure storage before examinations. Create examination registers, marks sheets and desk cards. Manage first marking of examination scripts and double marking of sample scripts and external moderation according to deadlines. Manage secure receipt and despatch of examination scripts for marking.
6. Assessment Marking Matrix
Maintain and update assessment marking matrix for each examination diet. Track and monitor marking of scripts.
7. Mitigating Circumstances, Appeals and Unfair Practice
Manage and maintain records of mitigating applications, appeals and unfair practices hearings; inform students and relevant staff of outcome.
8. Examination Boards
Provide subject results matrices in rank order with highest mark, lowest mark, mean, standard deviation and pass rate for internal and external examination boards on a timely basis. Attend examination board meetings and produce documents and minutes as required by the board. Result presentation.
9. Coursework feedback, Examination Results and certificates
Arrange coursework feedback to be given to students before their examination. Manage publication of examination results on a timely basis to students, staff and awarding bodies, after receipt of registry reports on attendance and outstanding fees. Create and distribute KCB result transcripts and certificates to students. Check and copy NCFE certificates for filing before distributing to students. Track and monitor collection of result certificates.
10. NCFE verifier/external examiner
Manage IBD student registration with NCFE, print and complete certificate claim forms to be signed off by NCFE verifier, arrange examiners reports, sample coursework, sample examination scripts and other documents as required by NCFE verifier. Check all recommendations by external examiners and NCFE verifier have been acting accordingly.
11. Examination result matrix and database
Check calculation of marks and data input so that accuracy is maintained. Maintain and update undergraduate result matrix and database. Provide timely and accurate result data, analysis and reports and ensure queries are resolved on a timely basis
12. Communications and training
Liaise with examination awarding bodies, examination centres(British Council, Laksamana College), examiners, academic staff, administration staff, course delivery centres, invigilators and students on all matters relating to assessments, and administration of examinations.
Train examination administrators and invigilators.

Propose, generate and disseminate.

Propose to attend participate and minute.
7.Prioritise workload
Within management and policy time limits assigned.
8. Interdepartmental
Support and cover administration work in other departments when needed.
9. Database
Understand applications input data whenever students have seen an update and generate reports.
10. Compliance
With health and safety data protection UKBA and other regulations.
11.Self-development
Knowledge of college courses and processes and identify/undertake training.
12. Working hours
use of electronic mobile devices at work etc.
13. Decision making
Not to make decisions or give advice/information on areas beyond your level of responsibility.
