This is a fantastic opportunity for those looking to develop a career in administration to join the NHS as part of the existing team at Black Country Partnership Foundation NHS trust. Through completion of your Level 2 Business and Administration apprenticeship and through assessor visits and in-company mentoring, you will develop the skills, knowledge and confidence required to play a key part in supporting all patients accessing the services at Penn Hospital. You will help to ensure all appointments run smoothly and that all referrals received are actioned quickly and efficiently.
An excellent opportunity has arisen for an Apprentice to join the Planned Care team at Penn Hospital. Penn Hospital offers intensive 24-hour mental health support for all that need it following referral from external agencies.
As Apprentice Business Administrator you will play an important team role in the provision of a comprehensive administrative, clerical, switchboard and reception service ensuring that all referred to Penn Hospital receive a positive experience through quick and efficient administrative services.
Responsibilities:
- To support a comprehensive administration and clerical service including internal and external post duties, typing of letters and reports and supporting reception duties as necessary and as directed
- To receive referrals from GP surgeries, checking the relevant system and registering new patients
- Issues all correspondence relating to appointments and therapy sessions, following up on all non-attendees
- Retrieving and filing all patient medical files
- To receive and deal with incoming calls, take messages and take the appropriate action as directed
- Radio/page personnel and relay messages as requested
- Receive deliveries and ensure that they are distributed to the appropriate area as directed by the line manager
- Liaise with the transport department with regard to incoming/outgoing mail and deliveries such as drug boxes and stores
- To use and maintain current systems relying on information technology. This will include word processing and use of other software where appropriate
- To use and maintain current filing systems (including confidential staff and patient records). Assist with archiving of records when necessary in accordance with Trust policy
- To undertake photocopying and faxing of documents as requested
- To ensure completion of Qualifications and Credit Framework (QCF) assessments within the timescales identified in the training specification
- To undertake any other tasks and skills linked to the Clinical Apprenticeship Competency Framework
- Ensure completion of the Technical Certificate as part of the Apprenticeship programme in timescales identified in the training specification
- To attend study sessions as stipulated by the training specification. Including Apprenticeship and Mandatory Learning programmes
- The successful candidate will also need to be aware of and comply with Health and Safety, Fire Regulations and all other policies laid down by Black Country Partnership NHS Foundation Trust.
