We are looking for a receptionist to join and enhance our excellent reception team. Each day can be varied with different situations arising which will provide a great learning opportunity. You will ensure the smooth running of reception which will include meeting and greeting patients and visitors, booking appointments and dealing with queries.
Responsibilities:
- Initiating good teamwork and liaising with other agencies.
- Reception Duties:
- Greet and direct patients and visitors as necessary
- Monitor flow of patients into consulting and treatment rooms.
- Ensure that patients without appointments, but who need urgent consultation, are seen in a logical and non-disruptive manner.
- Explain practice arrangements and formal requirements to new patients and those seeking temporary cover, ensure procedures are completed.
- Advise patients of relevant charges for private services, accept payment and issue receipts for same.
- Respond to all queries and requests for assistance from patients and other visitors.
- Enter requests for home visits into visit book and computer system stating time received and including all relevant information and refer to the Duty Doctor.
- In conjunction with the Repeat Prescription protocol, ensure that requests for prescriptions are actioned where possible within 3 working days.
- Action request for ambulance transportation and enter details on computer records.
- Ensure reception and waiting areas are kept neat and tidy.
- Computer input, data and information as required by the practice, including computerised prescriptions and read coding.
- Handover of outstanding tasks/messages at the end of shift.
- Management of Appointment Systems:
- Ensure total familiarity with all appointment systems Book appointments and recalls ensuring sufficient information is recorded to retrieve medical record.
- Monitor effectiveness of the system and ensure that action is taken to resolve any problems
- Management of Medical Records:
- Processing record retrievals via online computer system
- Conversion of Lloyd George to A4 files
- Scanning of new patient records
- Preparation of Consulting Rooms :
- Ensure that the consulting rooms are prepared in readiness for each consulting session, checking full range of forms and requirements are re-stocked as required.
- Ensure that the consulting rooms are checked at the end of each consulting session and left tidy and secure.
- Operation of Telephone System:
- Receive and make calls as required. Divert calls and take messages as appropriate.
- Ensure that the system is operational at the beginning of each day and switched over to night service at the end of each day.
- Scanning of Documents as per guidelines.
- Start and End of Day Procedures:
- Open up premises at the start of day and make all necessary preparations to receive patients.
- Secure premises at the end of the day (or have a good knowledge of the procedure).
- Training and meetings:
- Attend training and meetings as required
- To be adaptable to new working practice including changes in IT and practice procedures
- Policies and Protocols:
- Be familiar and adhere to policies, procedures and protocols
A DBS check will be required (paid for by the practice)
There may also be other duties to undertake as required deemed relevant to the post including cover of staff absence.

Desired qualifications:
- 5 GCSE’s grade C or above, to include English language and Maths or equivalent is required.
Training:
Full training will be provided on an ongoing daily basis and when required. You will be working towards a NVQ Level 2 Business Admin qualification. An assessor will be allocated to you to progress/help you through you course. Continual assessment for NVQ’s coupled with assignments/or exams depending on course of study. Time spent training will be part of the agreed contracted hours of the working week.
