This is an exciting opportunity for someone looking to develop a career in administration, providing support to those accessing Mental Health/Learning disabilities support services. Working as part of the existing experienced administrative team and through completion of your Level 2 Apprenticeship in Business and Administration, in the workplace, you will provide continuous, high quality administrative and secretarial support service to the Home Matters Management and Support team.
Responsibilities:
- Prioritise and respond to phone calls and voicemail messages, manage all correspondence on a daily basis, ensuring that the information is handled in line with office procedures and directed as appropriate
- Provide accurate and timely information to individuals making enquiries and/or referrals from both Health & Social Care professionals, independent sector providers, service users and their families
- Arrange assessments and provide administrative support for all new business
- Liaise with the Management Team members to manage and monitor the various waiting lists, including sending out relevant information and documentation to clients
- Assist the Business Development Manager in setting up, developing and maintaining effective office systems, processes and procedures and to review and update on a regular basis to ensure current practices are documented
- Create and maintain accurate and confidential service user records, ensuring that all information is consistently and accurately recorded on the client file, including scanning and attaching correspondence/documentation
- Arrange meetings, participate in, minute and action issues raised in team and staff meetings,distribute documentation as required
- Support the staff team by undertaking administrative tasks as required, including emails, printing, sourcing information, etc.
- Assist in managing the office resources, including ordering of stationery and resources as required. Ensure equipment is working properly contacting the relevant people as required
- Provide reception cover, ensuring all visitors receive professional customer service and a positive impression of Home Matters
- Receipt and handle financial transactions and petty cash in line with Home Matters policy

- Good ICT skills, knowledge of a range of Microsoft packages
