Working week: 37.5 hours per week, Monday - Friday, shifts TBC.

Job Purpose

  • To assist the team to provide efficient administration support, telephone and reception services within the education centre.
  • To provide good communication between visitors, patients and families, all members of the hospital interdisciplinary team and other agencies.
  • To ensure that tasks are performed to a high standard and meet necessary targets.
  • To participate within the clinical secretariat team providing support as request by the clinical secretariat manager.

Responsibilities:

  • Receive telephone calls through the reception area, transfers calls or take messages as appropriate. Relay messages with accuracy and in a timely manner, using email, telephone or written message.
  • Contribute to a warm and welcoming environment for all visitors, patients and their families, ensuring that their needs are met with calmness, speed and efficiency. This will at times involve communicating with patients and families who are in distress, either face to face or on the telephone.
  • Oversee all deliveries and collections to reception areas and ensure they promptly meet their intended destination. Welcome and direct contractors to relevant department or person.
  • To provide administration support including word processing, producing reports, power point presentations, documents and spreadsheets accurately and timely for members of the teams.
  • To assist with the administration of room bookings, teaching sessions and daily tasks for the smooth running of the education centre.
  • To assist with the administration of learning and development duties, i.e, deal with helpdesk tickets, weekly compliance updates.

  • To assist with the training session administration, ie, compile registers, evaluation forms, update training records.
  • Occasionally receive and date stamp incoming post and distribute to the recipient in a timely manner.
  • In conjunction with the team, ensure any problems, complaints or dissatisfaction amongst service users and volunteers are managed in accordance with St Helena Hospice Policy and Procedure.

Desired skills:

  • Basic IT Skills including Word, PowerPoint and Excel.
  • Good telephone skills.
  • Good communication skills and ability to prioritise.
  • Good organisational skills.

Personal qualities:

  • Be an effective communicator.

  • Be confident in working alone, using initiative.

Qualifications required:

  • Candidates should have a strong interest in working in an administrative role and be able to discuss why they wish to do this.
  • They will need to be committed to their study and be responsible for their own learning.
  • It is necessary to attend an interview with the Work Based Learning team and to complete basic skills assessments in literacy and numeracy.
  • You will be expected to have at least basic numeracy and literacy skills.
  • Students on this course are required to be employed in a suitable work placement.
