Creative Support are looking to recruit an Apprentice Receptionist / Administrator to join their team based in Stockport.
The main purpose of the post is to provide an efficient and responsive administration and reception service within our busy Head Office.
Creative Support provides a range of services to service users with a wide range of support needs such as mental health, learning disabilities, autism, complex needs and more.
Our work requires regular liaison with service users, employees of the organisation, senior management, stakeholders and the general public in a professional manner delivering the highest standards of customer service. A high standard of professionalism and customer care is required at all times.
Responsibilities:
Reception and administrative duties:
- To represent Head Office and the wider organisation in a friendly and professional manner as a key part of our front of house reception service by directing staff attending the building for training and development (and any other need) to the appropriate location.
- To answer the phone in a professional and efficient manner and liaise with other staff and managers.
- To ensure that any enquiries are followed up in a timely and consistent manner with the appropriate individuals/ departments.
- To take accurate and detailed messages (when processing an incoming call for which the intended recipient is unavailable) and to email or notify the recipient in a timely manner.
- To compose correspondence under the direction of senior managers.
- To acknowledge and deal with mail and messages within the office.
- To keep filing and online network system folders in order.
- Ensure that telephone and mailing lists are kept up to date and accurate.
- To prepare monitoring statistics and reports if required as directed by the senior managers.
- To ensure that that you are aware of individual’s whereabouts through use of the outlook diary system and other means.
- To photocopy documents and ensure sufficient stocks of paperwork.
- To work collaboratively with the Learning and Development staff, and where necessary assist them in their role.
- To carry our general administration duties including word processing, audio typing, spreadsheets, filing, faxes etc.
- To organise and schedule meetings to meet the needs of the office and its departments.
- Dealing efficiently and effectively with incoming and outgoing mail, ensuring the most cost effective means of postage are used. Recording all registered and special delivery mail.
- You may be required to minute meetings and organise follow up actions on occasions.
- To work collaboratively with other Creative Support departments on and off site, (e.g., Purchasing Department, Payroll, Personnel, Housing Management Team etc).
Direct finance duties:
- To input financial data into accounts package and spreadsheets.
- To assist in ensuring the effective running and co-ordination of finance administration including the maintenance of manual and computerised records.
- To work collaboratively with the Finance Department to ensure the correct processes are followed.
General duties:
- To accept regular support and supervision from line manager.
- To carry out all work in a manner consistent with the aims and philosophy of Creative Support.
- To comply with and implement the Equal Opportunities Policy of Creative Support.
- To maintain confidentiality at all times, in accordance with the agreed policy.
- To treat all service users and stakeholders with respect and courtesy.
- To observe any written policies, procedures and guidelines for good practice agreed by Creative Support.
- To provide administrative support to all of departments within Head Office if and when required.
- Any other duties as required.
