Commercial CPD Co-ordinator

37.5 hours per week

Job Purpose:

To provide PROCAT CPD customers with an excellent end to end service. PROCAT wishes to sustain and increase its CPD customer base and in doing so needs to provide a consistent, high quality customer experience from booking to completion, to support the College in reaching the full cost sales targets.

Key Responsibilities:

  • To ensure all CPD bookings are processed quickly and effectively, courses are delivered to schedule and quality and hospitality and other required arrangements are in place
  • To ensure the accurate maintenance and updating of the CRM and on-line booking system so that all customer records are up to date and hold all information required
  • To ensure that CPD courses comply with all Awarding Body rules and regulations and leading on Awarding Body audits to ensure that PROCAT retains good or outstanding audit outcomes and approved centre status
  • To deliver excellent customer service including ascertaining, monitoring and improving the service where possible.

Quality Measures and Outputs:

  • Commercial CPD courses run to quality and schedule
  • Retained or improved customer evaluation results
  • Data is provided in an accurate and timely manner to enable decisions and actions to be taken in relation to commercial CPD courses
  • Accreditation and quality statuses are maintained at the currently good or excellent levels
  • Comprehensive support to the Head of Commercial CPD to deliver the Commercial CPD targets


  • To ensure that bookings are processed quickly and efficiently through CRM, all registration and certification is in place, delivery staff have all necessary information, materials are prepared for courses and support is provided, as required to deliver courses
  • To take responsibility for the course schedule, liaising with accounts to ensure payment before commencement of courses and closure of the course file
  • To provide line-management, communication with and support of associate trainers
  • To assist the Head of Commercial CPD in preparing management information and report
  • To provide leadership and line-management to the Commercial CPD Administrator
  • To monitor marketing requirements on an on-going basis and liaise with the Sales Executive, the Head of Commercial CPD and the Marketing Team about promotional and sales activities required to optimise course take-up
  • Forward planning of the CPD course schedule and subsequent liaising with all relevant college and external departments to ensure CPD courses are fully and securely resourced
  • Running regular e-mail promotions, regular social media communications and management of PROCAT ads on external websites
  • Liaising with Awarding Bodies to ensure we are compliant, up to date and prepared for audits and inspections
  • Passing information to Accounts to ensure timely payment
  • Ensuring all hospitality arrangements are in place
  • Collate customer feedback and course data, monitoring and reporting levels of satisfaction to management
  • Providing reception and telephone cover as required
  • Stock control and ordering of course and administrative materials
  • Exam invigilation as required
  • Keeping up to date with product knowledge for existing and new courses
  • Putting forward ideas to improve service and support the achievement of the sales target

  • Responsible for your own health and safety in the workplace and that of other staff, students and visitors to our sites
  • Ensure you are familiar and compliant with Risk Assessments relevant to your department
  • Challenge and report any dangerous behaviour to the Health and Safety Team
  • Report any accidents or near misses ensuring relevant paperwork is completed in timely fashion and submitted to the Health and Safety Team
