Administrator - Commercial Department

Due to a period of growth we have an opportunity for an Administrator to realise a continual increase in commercial course development, sales and the client base. The purpose of this role is to support the process of commercial development, sales and delivery through highly effective administration and customer service.

Key Responsibilities:

  • To process bookings for commercial customers and chase for information to ensure timely paperwork completion
  • To liaise with accounts to ensure all necessary information is completed on the CRM system to enable timely processing of payments
  • To work with colleagues to support pro-active marketing activities for CPD training courses
  • To support the Commercial Co-ordinator with various administrative tasks as required (pre and post course) to enable the smooth running of CPD training programmes and ensure client expectations are met.

 Specific duties will include:

  • Communicating with clients in a professional timely way, ensuring accuracy and consistency of information to both internal and external customers
  • Providing information to clients/customers about courses, course dates, prices and bookings process
  • Sending booking forms to customers on the day of sale and logging onto the system
  • Chasing employers for booking forms or other necessary paperwork to complete the sales transaction
  • Allocating customers to accounts to trigger the distribution of invoices
  • Converting incoming calls into confirmed sales
  • Ensuring all resources are available for confirmed courses
  • Ensuring candidates get registered for their qualifications and claimed (after completion) timely and accurately
  • Data input and processing of post course paperwork
  • Monitoring course successes/failures and ensuring that clients/candidates receive their certificates
  • Sending out marketing communications for commercial courses
  • Running and writing reports for the Commercial Co-ordinator and CPD Operations Manager, to highlight any issues with upcoming courses, including non-payment by customers and to enable the team to measure factors such as success and client satisfaction rates
  • Undertaking research, as requested by the Commercial Co-ordinator or CPD Operations Manager to implement new initiatives to help increase awareness of PROCAT courses and sales
  • Suggesting and supporting the implementation of better and more effective administrative processes
  • Developing and retaining a high level knowledge of products to aid credibility and excellent customer service
  • Providing phone, reception cover and making hospitality arrangements as required
  • Exam invigilation as required

  Health and Safety responsibilities (all staff)

  • Responsible for your own health and safety in the workplace and that of other staff, students and visitors to our sites
  • Ensure you are familiar and compliant  with Risk Assessments relevant to your department
  • Challenge and report any dangerous behaviour to the Health and Safety Team
  • Report any accidents or near misses ensuring relevant paperwork is completed in timely fashion and submitted to the Health and Safety Team
  • Maintenance of your Personal Protection Equipment
